Services: Meeting Rooms

Introduction

All Spokane Public Libraries feature attractive and functional public meeting rooms that are available for open, public meetings. Please note that meeting rooms are only available during open library hours and each group using a room must have a completed application on file. Completed applications can be mailed to the branch where you would like to hold your meeting. Please fill out and print the application, then sign it for approval.

Meeting Room Rules

Please review the Meeting Room Use Policy and Administration of Meeting Room Use Policy if you plan to use a meeting room.

• The Spokane Public Library provides meeting rooms to the community as a public service during open hours at all their branches.
• All activities in the Library’s meeting rooms must be open to the public, with the exception of certain City, County, State or Federal Government meetings and must be in keeping with the Mission and Goals of the Library. All must be held at no charge to the public.
• Public meeting room use is free but a fee will be charged if the room is left in disarray, if the room is left dirty or if there is a custom set-up requested. Each room has a standard set-up, and you are welcome to re-arrange the chairs or bring more chairs out of the closet, as long as the room is returned to its standard set-up before you leave. If you need to have tables moved from the standard set-up or need additional tables, this must be requested when your application is turned in and there will be a $35 charge for the custom set-up. Only library staff members are allowed to move the tables in the meeting rooms.
• Meetings may be scheduled as little as two days in advance of the meeting but no more than four months in advance. The maximum number of meetings a group may have reserved on our calendar, at one time, is three meetings.
• To reserve a meeting room contact the location you are interested in to check on availability.  A completed and signed meeting room application form must be submitted to the library staff at least two days prior to the meeting date.  Reservations are not confirmed until the form is submitted and the request is approved.

Downtown Library Meeting Rooms

At the Downtown Library there are four meeting rooms available: 1A, 1B, Computer Lab and Board Room.  Meeting rooms 1A and 1B can be combined into a larger room, but a $35.00 set-up fee will be charged to do this.  When you check in for your meeting room at the 2nd Floor Reference Desk, you must leave picture ID or library card at the desk during the time that you are using the room.

* Room 1-A has a projection system and 10-foot screen available to show DVDs & VHS tapes.  It can also be used to project the screen images and sound from a PC or laptop computer. 

**We have a total of SIX microphones available to be used at any one time. 

The library does NOT provide computers for meeting room use. There is wireless internet available in this room.

Standard set up:  Auditorium Style with chairs for 60 people.

Maximum occupancy: 177 standing, or 83 seated.

Meeting Room 1B

Standard Equipment

Equipment Available Upon Request

A stand-alone computer projector MAY be available upon special request, at the library's discretion.  You must provide your own computer.  There is wireless internet available in this room.

Standard set up:  Four tables in a square with 3 chairs each.  Piano in southwest corner.

Maximum occupancy: 123 standing, or 60 seated.

Rooms 1A and 1B can be combined for larger groups, but there will be a $35.00 custom set-up fee charged.  Combined maximum occupancy: 299 standing, 160 seated.

Computer Lab

The set-up of the computer lab cannot be changed. All computers have the OpenOffice suite of programs and Internet access.

East Side Library Meeting Room

Standard set up:  “Storytime set-up” – Five chairs on west wall, five chairs on south wall in, open floor space in center, 1 chair and easel at front of room.  Other equipment is located in closets and cabinets.

Maximum occupancy: 49 standing, or 24 seated.

Hillyard Library Meeting Room

Standard set up:  “Storytime set-up” – 10-12 chairs in the back of room, open floor space in center, 1 chair and easel at front of room.  Other equipment is located in closets and cabinets.

Maximum occupancy: 49 standing, or 37 seated.

Indian Trail Library Meeting Room

AV Equipment

Standard set up:  “Storytime set-up” – 12 chairs in the back of room, open floor space in center, 1 chair and flannel board easel at front of room.  Other equipment is located in closets and cabinets.

Maximum occupancy: 105 standing, or 46 seated.

Standard set up:  “Storytime set-up” – 18 chairs in the back of room in arc.  Other equipment is located in closets and cabinets.

Maximum occupancy: 136 standing, or 63 seated.

Standard set up:  “Storytime set-up” – 2 tables at the back of room, 3 rows of chairs in front of tables, open space in the middle of room, 1chair at front.  Other equipment is located in closets and cabinets.

Maximum occupancy: 136 standing, or 63 seated.
